Storage Guide Calms Compliance Chaos
Pillar sets the record straight on electronic document storage

LONDON, UK - 5 October, 2006 - Electronic records management and email archiving are explained effortlessly in a new guide from Pillar Data Systems. The enterprise storage specialist has launched ‘Compliance Made Clear’, a handy booklet designed to provide an instant reference point for any queries on storing electronic documents for legal requirements.

The guide takes an IT manager or compliance officer through everything from the founding principles for setting up a records management system for electronic documents, through to briefings on what any organisation needs to know regarding real-life management of legislation, such as the Data Protection Act.

A specific retention section highlights how many months documents need to be stored for and why, enabling users to create a tiered electronic storage index for a company’s electronic files. While some documents need to be stored for the lifetime of a company, they may only need to be accessed infrequently. Other documents may have to be retrieved on a regular basis, and Pillar sets out clear guidelines on how a tiered approach can not only keep costs down, but make the ever-growing volume of documents more manageable.

The guide also provides:
· Expert advice on retaining and retrieving emails
· A rough guide to legislation in the EU and US
· A full glossary of storage terms

“There tends to be a knee jerk reaction any time anyone mentions compliance,” said Adrian Groeneveld, senior product manager, Pillar Data Systems. “Companies are insisting on storing every single document so that it can be accessed instantly – just in case. The fact is that, although many documents must be kept, some do not need to be read frequently, and therefore can be stored at a lower priority to other records. Tiering storage must become an everyday occurrence in organisations, whatever their size. Otherwise IT departments will experience an explosion in storage capacities needed to cope with the demands that come from ensuring all documents can be accessed instantly.”

“Storage solutions exist which can manage data of all levels on one system rather than porting between different storage silos. This will not only save money, but will reduce the time taken to access data,” he continued.
